Most kitchens set pars by feel. Someone remembers running out of chicken thighs on a Saturday, so the par goes up, and it never comes back down. Other items sit at a par that was set for a menu that changed two years ago. The result is a walk-in with too much of some things, not enough of others, and no clear number to point to when a vendor order sheet gets filled in on a busy afternoon.

This calculator turns a few facts you already know into a par level you can defend. It multiplies average daily usage by the number of days the stock has to cover: the gap between deliveries, the lead time from order to arrival, and a safety buffer for busy days or late trucks. It then compares that par to what you have on hand and tells you how many cases to order now. It is an estimate built on your inputs, not a forecast, so check it against real usage after a few cycles and adjust.

How to use this tool

  1. Pull the average daily usage for one item from your last few inventory counts and purchase records, in the unit you actually count.
  2. Enter how often the vendor delivers, how many days an order takes to arrive, and how many extra days of cover you want as a buffer.
  3. Enter today's on hand count and the vendor case size, then read the par, reorder point and cases to order.

What the math assumes

  • Par level equals average daily usage multiplied by days between deliveries plus lead time plus the safety buffer you enter.
  • Reorder point equals average daily usage multiplied by lead time plus the safety buffer, meaning the level at which an order should already be placed.
  • Usage is treated as flat across the week; the safety buffer is your only allowance for busy days and slow days.
  • Cases to order is the shortfall to par divided by units per case and rounded up, so you will usually land slightly above par.
  • If units per case is 0, cases to order shows 0 rather than dividing by zero.

Frequently asked questions

What is the difference between a par level and a reorder point?

The par level is the stock you want on the shelf right after a delivery lands. The reorder point is the lower level that tells you an order must go in now, because what is left has to last through the lead time plus your safety buffer.

How big should the safety buffer be?

It depends on how much your usage swings and how reliable the vendor is. Many kitchens start with one day for stable items and two or more for items with big weekend spikes or a vendor that shorts orders, then trim it once real counts show the buffer is never touched.

Should I use the same daily usage number all week?

This calculator assumes flat usage, which is fine for a first pass. If your Friday usage is triple your Tuesday usage, run the numbers with a weekend figure for items where a stockout would hurt, or raise the safety buffer for those items only.

What if the calculator says to order zero cases?

That means your current on hand already meets or exceeds the par for this delivery cycle. Check the days of cover figure; if it is much larger than your delivery cycle, the item may be over-stocked and the par may be set too high.
